Full Planning 

Start-to-Finish Package:

This package is designed to assist the bride and groom from the beginning stages of planning a wedding to the end, including at the rehearsal and on the day of their wedding. 

 

During the months leading up to your wedding:

*Meet with the bride and groom to discuss budget, style, priorities and preferences.

 7 in person consultation appointments with Bride & Groom:

First meeting, to gain an overview of what you are envisioning for your wedding: the overall atmosphere as well as the finer details (venue, music, flowers, food, bar, photography, videography, and weekend activities...).

Second meeting, establish budget and review wedding details

Third, fourth and fifth meeting, to assist in selecting vendors and chance to view pictures

Sixth meeting, develop wedding day itinerary

Seventh meeting, to review room setup and menu facility/ onsite caterer

Eighth meeting, finalize all details two weeks prior to wedding

 

Planning Phase...

*Design ConsultationThree 2-hour design/decor meetings.  During the first meeting, we usually get to know what the client decor/design wishes are. The following two meetings can be at the florist, prop or linen rental services--we will help the client select flower/linens/props/favors that are inline with their custom design proposal. 

*Invitation Consultation: 2 hours--Assist with wording/selection of invitations, maps, save the dates and program at stationers.

*Contact recommended venues/vendors and tentatively reserve your wedding date.

*We will set up interviews for you with recommended vendors and venues.  After you make your final decision, it is up to you to finalize your wedding date/sign contracts with the vendors and venues that you choose to service their wedding.

*Planning Meetings:  Three 2-hour on site meetings with venue, caterer or pastry chef. 

*Assist in reserving hotel room blocks. 

We will request agreements from these hotels for you to sign - We will request a final list of confirmed guest reservations for your preview.

*Arrange and coordinate group transportation for ceremony and reception guests if needed.

*Assemble and deliver welcome baskets for wedding party and family.  We will suggest and purchase items/baskets; purchase price will be added to your final bill. 

*Unlimited communication via e-mail and phone with consultant during time of service; answer any questions you may have.

*Offer a wedding to-do list to help you keep track of what needs to be done leading up to your wedding.

*Help you create and maintain a budget.

*Provide etiquette advice as needed.

*Obtain and review all vendor contracts to ensure items and services are what you are wanting from your vendors.

*Be the liaison between you and your vendors (immediately, or as you desire).

*Advise and assist you in coordinating aesthetics ranging from flowers, colors, theme, ceremony and reception layout, rentals, all stationery, wedding favors, wedding party gifts, etc.

*Meet with you periodically/as needed.

*Meet with you at least two months out to review:

¨ Ceremony details.

¨ Your progress in tying up loose ends; finalize what details we   

     can at this time.

¨ Wedding weekend itinerary to include directions and any pre-

     wedding activities (bachelor party, spa treatments, a  

     luncheon, etc.), rehearsal, rehearsal dinner, pre-ceremony,

     ceremony, reception timeline, and any day-after activities.

 

6 Weeks before Wedding...

*Onsite consultation to discuss floor plan layout (6 weeks)

*Planning meeting to discuss ceremony/reception timeline (4 weeks)

*Prepare vendor timeline/production schedule; distribute 1 week prior to wedding)

*Prepare separate timeline for family/wedding party; distribute at rehearsal

*Two hour meeting to discuss the final details of your wedding day (2 weeks before)

*Assist with place cards, table cards, and seating charts.

*Coordinate or assist with rehearsal and rehearsal dinner

 

 

The month prior:

*Accompany you on your final walk-through(s) at the ceremony and reception site(s) with the catering manager to review details of services, rentals, design, and layout of ceremony and reception; review and revise banquet event order from the caterer.

*Confirm all vendors’ services, including rehearsal dinner reservations; provide directions to the venue(s) for all vendors; take vendor meal orders for vendors staying into the reception (number of vendor meals passed on to the caterer and included in your final count). (2 weeks prior to wedding)

*Finalize ceremony details.

*Continue to review your progress in tying up loose ends; finalize all details.

*Finalize a wedding weekend itinerary to include directions and any pre-wedding activities (bachelor party, spa treatments, etc.), rehearsal, rehearsal dinner, pre-ceremony, ceremony, reception timeline, and post-reception (this itinerary will be e-mailed to you to help you coordinate with your wedding party and other participants/family).

*Develop a vendor delivery, set-up, and pick-up schedule as part of the wedding day itinerary; share final itinerary with necessary vendors and catering manager.

*Remind you of final balances due to vendors.

*Remind you of the due date for final count and event details for the venue, and rehearsal dinner location.

 

The week prior:

*Meet with you a week prior to the wedding weekend to:

¨ Review all event details.

¨ Finalize wedding weekend itinerary.

¨ Obtain guest book, programs, table numbers, seating cards,   

   cake cutter, toasting flutes,marriage license, wedding favors,   

   and anything else to be placed at the ceremony and

   reception (these items can be obtained at the rehearsal or on   

   the wedding day too).

¨ Obtain final payments and/or gratuities for all vendors.

¨ Obtain layout design for ceremony and reception.

¨ Obtain table assignments for guests, and entrée choices if   

   applicable.

 

 Wedding day (up to 12 hours of coverage; additional hours are billed at $45/hour):

Wedding Day...

Setup Details

*Confirm vendor arrivals for ceremony and reception

*Serve as primary contact for all vendors on wedding day

*Supervise setup/production of reception:  Check decor

*Set out reception items including your toasting flutes, cake knife, and guest book/pen, tossing items, favors, place cards, menus, table numbers

 

Ceremony Preparation...

*Check decor of ceremony

*Set out your programs and your guest book/pen at the ceremony.

*Distribute bouquets

*Pin boutonnières/corsages (wedding party and family)

*Assist bridal party as needed if getting ready on site

*Allow use of Emergency kit

*Transport guest book from ceremony to reception

*At designated time, the wedding planner will arrive at venue(s), and will stay through the end of the reception seeing that clean-up of the reception meets the venue’s expectations.

*At designated time, the wedding planner’s assistant will arrive at venue(s) to assist.

¨ Oversee set-up of ceremony and reception, and all wedding day accessories (guestbook, cake cutter, toasting flutes, wedding favors, etc.).

*Help decorate ceremony and reception (flowers, candles, centerpieces, linens, etc.) with the florist, design or rental company, and/or catering staff.

*Keep your wedding party on schedule as they get ready to take pictures before the ceremony.

*Ensure wedding rings and marriage license are on hand prior to the ceremony.

*Line-up wedding party for ceremony; cue musicians or DJ.

*Gather any items left from getting ready to be transported to designated hotel room or vehicle.

*Coordinate with the catering staff and vendors to ensure your reception flows smoothly from start to finish, including the announcement of your grand entrance, first dance,toasts, cake cutting, etc.

*Distribute final payments and/or gratuities to all vendors.

*Gather all items at the end of the night for transporting to designated hotel room or vehicle (gifts, wedding accessories, bride’s bouquet, items left by guests, etc.).

 

On To The Party!

*Bustle wedding dress at reception

*Keep wedding reception running per specific, preset timeline 

*Distribute favors/tossing items to guests

*Supervise boxing of cake top

*Help load gifts into designated vehicles

 

After The Party!

*Transport bridal gown to "after wedding" site

*Return groom's tuxedo if necessary

*Pickup and return of certain rental items

 

 

 

 

 

Day-Of Planning

 *Making sure that You, Your Groom, Parents and the Wedding Party are comfortable and have all the attention and service you need while getting ready for the Big Day

*Receiving deliveries and greeting vendors

*Distributing hard copies of your Complete Wedding Day Itinerary to all vendors

*Overseeing proper set- up and design of ceremony and reception areas

*Acceptance of and assistance with the distribution and pinning of all corsages, boutonnieres, wedding flowers and flower-girl baskets

*Ensuring proper placement of the guest’s assigned seating place cards, wedding favors, ceremony programs, disposable cameras, etc --per your exact instruction

*Making sure any of your guests with special needs have someone to help them without making them feel uncomfortable or like the center of attention

*Greeting your guests and directing them to the ceremony area

*Finding the flower girl and the ring bearer when it's time to walk down the aisle

*Lining up and cueing the Wedding Party when it's time to walk down the aisle, making sure they look great, smiling, paced perfectly, no hands in pockets

*Letting you know when it's time to walk down the aisle, making sure you are ready for the big moment. Making sure your dress and train are perfect and send you on your way down the aisle with your escort

*Making certain that all ceremony musicians have the correct musical selections for guest arrival, family seating and also the correct processional and recessional musical selections

*Making certain that the ceremony musicians are cued appropriately to ensure correct pace and timing

*Coming to the rescue of the crying flower girl or ring bearer during the ceremony when their Mom and /or Dad happen to be in the ceremony

*Directing your guests to the cocktail reception

*Assist the Photographer in gathering your Wedding Party and family members for pictures as needed. Making sure that You, Your Groom and the entire Wedding Party get cocktails and hors d’ oeuvres during your photography session

*Making sure your selected Reception Entertainment has proper electricity, shaded seating, staging, etc.

*Making sure that all finishing touches are complete and as you wished before allowing guests to enter the reception area

*Making sure all candles are lit and remain lit throughout the entire reception

*Answer guests' questions and concerns throughout the day

*Assisting DJ / MC in guiding guests through the day and on to the next scheduled events making sure that no on misses these events

*Assisting your Maid of Honor in the bustling of your Wedding Dress

*Organizing the Grand Entrance and getting everyone lined up outside the reception area in correct order

*Always letting You and Your Groom know what is next so that you are never caught off guard

*Seeing to it that parents and very special people are given special care and their every need is catered to. Making sure the dietary needs and requests of guests such as allergies, vegetarian and vegan requests are followed through with correctly

*Supervising and communicating with the chef and catering staff to ensure superb, timely service

*Making certain that everyone involved in toasts or special events during the day are cued and ready

*Making certain that you and your shy groom do not get left out in the middle of the dance floor for an entire very long first dance

*On the other hand, making sure that you are the only two on the dance floor to show off those moves you learned in those dance lessons you took over the past year

*Making sure we have your comfortable shoes ready for you to change into if you desire

*Making sure your Grandmother gets a great spot for the cake cutting and first dance, etc.

*Coming to the rescue with a warm, damp cloth when your groom wasn't as nice as he had promised to be during the cake cutting

*Be there by your side, ready and available for any emergencies or unexpected occurrences

*Guiding you graciously through your day, Keeping things running on schedule, Without a coordinator it's very easy to simply run out of time and you never get to do all those creative and special things you spent months planning

*Distributing final balances and gratuities to the vendors on your behalf

*Keeping track of, organizing and then packing everything up for you at the end of the evening

*Collecting disposable cameras, all of your gifts, your guest book, pen, toasting glasses, cake top, etc. Bringing everything to your Honeymoon Suite, Designated Room or Designated Car

*Decorating your Honeymoon Suite on your Wedding Night

*Arranging Getaway Transportation, making sure that they are present and on time

*Knowing exactly when you need a soft voice to calm you, one other than of your family or close friends

*Being the one person to give you a little laughter when those people nearest and dearest to you(forgive me) are driving you nuts
